Secretariat can provide an official invitation letter to assist participants in their visa application process.
Important Notice
The official invitation letter for visa purposes will be issued only after your registration has been completed and the full payment has been received.
**Requests made before payment confirmation will not be processed.

How to Request an Invitation Letter
To receive your official invitation letter for visa purposes:
- Create an Account
- Fill in all required information accurately (full name, date of birth, passport number, affiliation, and contact details).
- Complete the registration process and ensure that payment has been successfully made.
- After payment confirmation, the Organising Secretariat will issue the invitation letter based on your submitted details.
Processing and Delivery
- Processing time: within 5 – 7 business days after full payment confirmation.
- The invitation letter will be sent to your registered email as a PDF file.

- The invitation letter is provided solely to support your visa application and does not guarantee that a visa will be granted.
- Participants are responsible for preparing all supporting documents required by the embassy (such as travel insurance, proof of accommodation, flight booking, and financial statements).
- the secretariat are only responsible for issuing the official invitation letter; they are not authorised to contact embassies or consulates on behalf of any participant, nor can they influence visa approval decisions.
- In the case of a visa rejection, registration fees are non-refundable, unless stated otherwise in the official refund policy.
